dRofus' admin system is divided into separate owners. Customers that are running several projects can have their own owner partition on the server. An owner administrator will be able to see all databases associated to the owner and will be able to edit user access in all of them.

As an owner administrator, you have the same rights as a project administrator but can also create/delete projects and databases, change the name of databases and edit email templates. The illustration below provides an example of the start menu for an owner administrator

  • Projects: List of projects associated to the owner

  • Users: List of existing users

  • Emails: List of email templates available for the owner. Here you can create new email templates or edit existing templates.

  • Databases: List of databases associated to the owner

  • Server status: List of users currently logged in to databases associated to the owner

New project/database

To create a new project, go to Projects – New Project. When you create a new project, you have the choice of creating a new database for the project or adding the project under an existing database.



A database can contain several projects and can exchange data between projects. Moreover, several sets of data are jointly available for all projects within a database. A database can also be regarded as a builder, where some aspects are shared for all the builder's projects and some are specific to individual projects. This figure illustrates the content of the different parts, described in detail below. 

A database contains data which is shared for all projects within the database. If you make changes to the data in the database, these changes will be made for all projects within the following areas:

  • A shared item register, with related item specifications and sub items

  • Form set-up for specification of item

  • A shared room template list with related RDS template and equipment lists

  • Form set-up for RDS so that RDS can be copied, and the same RDS copied and used for all projects

  • A number of settings which are considered to be equal for several projects for a builder, such as: User group types, area types, room name and main room types, responsibility groups etc.


This shared data allows for data to be re-used among several similar projects. If this is not appropriate, you create a new database.

The most important project-specific data are:

  • Room function structure

  • Room list with related information on RDS and equipment lists for the rooms

  • Logos and project name


If you choose to create a new database, you have to give it a new name. This is the name you enter in the field for Database in the log-in window in dRofus. We therefore recommend a short and simple name. The only characters permitted in database names are the letters A to Z, digits 1 to 9, hyphen  and underscore (_). The first character in the name must be a letter. You also have to choose a template on which the new database is based. For more information on elements in a database template, see above.

The next step is to fill in the project name, builder and any description and gross area. If you have filled in all the information correctly, the new project will now be created and you can start adding users.

Edit and copy database

As database administrator, you also have the option to open and edit the name of existing databases. Click Database in the start menu and you will see the following symbol  on the right of each database.

NOTE: When you change the name of a database, you also change the name to be typed in the field for Database in the log-in window for dRofus. All users in the project must therefore be notified of the change. You must therefore never change the name of a database unless absolutely necessary.

When you click to open a database from the database window, you have the option to create a copy of the selected database. Give the copy a name and click "Copy". This window also allows you to delete and change the name of a database.

List of database backups

The dRofus server takes backups of all databases every night- An owner administrator can access this list by navigating from the projetcs overviewSelect a projectChose "Database" in the top menuSelect "Backups" from the database detail window;



Here you can see a list of available backups for the selected database. Each backup is tagged with Time and date for when the backup was taken. Select "Restore" if you want to restore a copy based on the backup. The copy will be given the original database name with an date extension in the end. The database copy will be available in the project list as an inactive database, so make sure you have selected the option "Show inactive projects" in the projects overview.

Note: List of backups is only available for databases with active projects.

Select "Download" if you want to download a copy of the database file locally. This option is normally used when transferring a database from one dRofus server to another.

User log

From the project detail window you can access User log. The user log shows a list of users that has accessed the database.

Run task

Set all user access to 3=Read for all users in the project.

Copy data

Copy data allows you to copy data from one database to another;


The form consists of two sections. In the upper section you can copy function program and TIDA data from one database to another. First use the upper dropdown to select what data to copy, then select the database you want to copy from.

The lower section allows you to copy GUI data from one database to another. First use the upper dropdown to select what data to copy, then select the database you want to copy from.
