When use template

When you have two or more identical rooms it can be an idea to have a template. Room Templates are used to create standardized Room Data, finishes and Item lists for the entire project, such as offices, toilets etc.

With a template you can update the Template and know that all rooms which are meant to be alike will be alike.

Templates are primarily used in larger projects, where the number of Room Templates would otherwise be very high and difficult to maintain within an overview.

Templates are standard which are used to:

  • Create standardized Room Data, finishes and Item lists for the entire projec

  • Create new rooms from the templates

  • Attach data and items to rooms.

  • Templates can hold information pertaining to the Room Data as well as Item Lists or both

  • Be linked to multiple rooms in terms of Room Data + all Item List statuses, or in terms of specific (Room Data only and/or only select Item List) statuses.

  • Change infomation in several room at the same time.

Templates

In the Templates for rooms modul you can create:

  • Room Templates - Room Data with Item List

  • Room Data Templates - Room Data Only

  • Item Lists Templates - per item list type

  • Finishes Lists Templates - per finish list type

Item templates, Finishes Templates or Room Data Templates, as opposed to Room Templates, these kinds of Templates are of specific types and each Room Data need, Finishes as well as Item Template are not related to one another. Also, these Templates do not have other core information other than a code and a name.

Create Room Templates

  • Name

  • Description

  • Standard area.

As they are standard rooms, they will not have a designed area and are not placed in any type of functional structure but have a unique template code. Templates have logs, can be assigned with classifications, statuses as well as room groups.

Room Data from template:

A room can receive e.g. Room Data from a Room Template. This can be performed in a number of ways, described in more detail under Room Data from Room Templates .

Changes

Changes made in a template will be reflected in all rooms linked to the template

Item list from template

A room can receive e.g. an Item list from a Room Template. This can be performed in a number of ways, described in more detail under Occurrences in this user guide.

Using templates

Templates are accessed from Home→Templates. An example of a list of Templates for Rooms is illustrated in the image below. As in the room overview, you can access all functionality regarding the room templates in the ribbon menu;

  • Open Template: Opens a new window with all data connected to the room template available.

  • New Template: Add new room template

  • Delete Template: Delete selected room template

  • Copy Template: Copies the selected room template. The new room template will be assigned identical name and Room Data/items lists, but will be assigned a unique template code.

  • Convert Template: Converts a Room Template to a Room Data Template or Item List Template.

  • Add Documents: Upload a document and attach it to the selected room template

  • Link to Documents:  If you've already uploaded a document you can attach existing documents to the room template. This way you avoid duplicate documents in the database.

  • Show Log: Opens log for the selected room template.

The Template Properties are displayed on the right-hand side. Note that all room Groups, Classifications and Statuses for rooms will be displayed on the Properties Panel. These values, if set on the Template, will be inherited to the rooms when you assign a Template to the rooms in the Room module.

You can use the list of panels to the right to include more panels into the interface, such as Room Data Sheet, Documents, Images, list of rooms connected to the templates, logs, and items in room.

You can also search in the room template list using quick and advanced search.

Within the Room template module you have additional tabs where you can conduct specific operations to Items lists and Room Data for selected room template, template or room.

Items

Add or remove occurrences to the selected room template, equipment template or room.

Templates are accessed from Home→Templates. If in the database the use of templates is activated they will show as separate tabs next to the list of Room Templates in the Templates panel; The settings are defined under Edit Template Settings.

Users can create new templates, delete templates, edit template properties based on the user permissions level. To /wiki/spaces/PM/pages/783716445 a user must be an admin.

To create a new template select New Template with the template type selected. For example, to create a new Room Template, have the Room Template type flag selected first. When creating a new template the Template Name and Description should be filled in, but the prefix/code is not necessary and will be automatically created based on the default settings defined in the Templates Settings. These values can be modified in template properties if they should be different than the default prefix/code created by the automated process.
